Questions and answers on the Secretariat's supervision, the Executive Secretary and the Fund Coordinator under the Code of Policies.

Q: Is the Secretariat under the supervision of the Club Secretary? What is its main function?

A: Yes. The following item in the Code of Policies is authoritative: “5.2.1 Chain of Command The Secretariat is the Administrative support arm of the Club. It is under the supervision of the Club Secretary.”

Q: Who is the head of the Secretariat? What is the duty of the Executive Secretary?

A: The Executive Secretary is the head. The following item in the Code of Policies is authoritative: “5.2.1 Chain of Command x x x The Secretariat is headed by an Executive Secretary who is directly accountable to the Club Secretary for the efficient and effective management of the personnel and properties of the Club. The Executive Secretary shall submit or course all reports and communications of club functions and activities through the Secretary. To facilitate communications and to avoid red tape, the Club Secretary may delegate certain functions to the Executive Secretary subject to the concurrence of the President.”

Q: To whom is the Fund Coordinator of the Secretariat under?

A: The following item in the Code of Policies is authoritative: “5.2.1 Chain of Command x x x The Fund Coordinator of the Secretariat is under the technical control of the Treasurer of the Club. Thus, while he is under the administrative supervision of the Executive Secretary, he receives instructions direct from the Treasurer on club funds matter.”
